- Giving every lead a fast, professional response without requiring the owner to manage every early sales conversation

With Breezit AI handling early sales conversations, TRAINE at Seaboard Station doubled its weekly scheduled consultation calls, increased tours by 25%, and gave its owner 10 hours back each week.
As a team of one, Richelle Norman needed a way to respond to every new inquiry without spending every day scheduling calls, answering the same early questions, and following up manually. Breezit AI now gives prospective clients quick answers and guides qualified leads toward a call or tour—while Richelle focuses on booked clients and growing the business.
About TRAINE at Seaboard Station
TRAINE at Seaboard Station is a historic indoor-outdoor event venue in downtown Raleigh, North Carolina. Set inside Raleigh’s original Seaboard Railroad Station, its 4,500-square-foot gathering space can host up to 270 guests for weddings, corporate events, nonprofit fundraisers, celebrations of life, and other social gatherings. The business is led by owner Richelle Norman, who has managed the space and hosted events there since 2019.
That hands-on model makes the client experience personal. It also means every hour spent arranging an introductory call or answering preliminary questions is an hour that cannot be spent with existing clients or on the next stage of growth.
As lead volume increased, Richelle needed more than a faster inbox. The venue needed a reliable first point of contact that could answer questions, establish trust, qualify interest, and help each prospective client take the next step.

The Challenge: Growing Demand, but Only One Person to Handle It
Before Breezit AI, Richelle personally handled the work required to move a new inquiry toward a consultation or tour. Each lead needed a timely first response, answers about availability and pricing, and help deciding what to do next.
For a solo operator, that work quickly competes with everything else the business requires. Leads do not arrive only during convenient office hours, and prospective clients—especially younger clients accustomed to instant information—expect answers quickly.
As a team of one, I do not have to set those meetings up myself. This allows me more time to build the business, spend time with already booked clients and increase overall booking revenue.
The cost of a slow reply was not limited to a missed appointment. In a fast-growing local market, Richelle saw delayed responses as a risk to the venue’s reputation. A prospective client who cannot get timely, knowledgeable help may move on—or come away with a poor impression before ever visiting the property.
If I were to turn off Breezit now, my potential clients would not be served in nearly enough time to present a professional, knowledgeable response.
The business needed the capacity to serve more leads without making every early conversation depend on Richelle being available.
The Solution: Let “Emily” Handle the First Conversation
TRAINE at Seaboard Station uses a Breezit AI assistant named “Emily” to manage the initial sales conversation. Emily responds quickly, answers preliminary questions, and helps prospects move toward a consultation call or tour.
That gives clients a clear next step while their interest is high. It also gives them the information they need to decide whether the venue fits their event and budget before taking time to meet.
Having our AI assistant, ‘Emily’, gives clients the sense that they can ask questions, get quick responses from our business and trust that a tour or call is their next step.
The change is not simply about sending a faster first message. Emily carries enough of the early conversation for a prospective client to arrive at a call or tour with a better understanding of the venue.
For Richelle, the handoff is equally important. Instead of personally contacting every lead until that person takes the first step, she can concentrate on the conversations where human attention matters most: supporting booked clients, meeting serious prospects, and closing business.
A Time-Sensitive Inquiry That Could Not Wait Until Monday
The value of that responsiveness became especially clear when a family submitted a last-minute inquiry on a Friday afternoon. They needed a centrally located venue for a celebration of life for a seven-year-old child who had died from cancer. The gathering needed to accommodate 200 people just two days later.
TRAINE already had weddings booked for both Friday and Saturday. Under the previous process, Richelle says the inquiry likely would not have been seen until Monday—after the requested date had passed.
Emily responded while the family was still searching. The AI assistant confirmed that Sunday was available, explained the cost and what was included, answered questions about permitted vendors, and offered condolences.
The family later met Richelle and thanked the venue for Emily’s quick and compassionate replies at a difficult time.
Our Breezit AI, ‘Emily’ was not only able to answer much quicker than we could that the Sunday date was open, how much it would cost, what was included and what vendors we allowed...but she also gave sincere condolensces.
For TRAINE, the experience showed what timely communication can mean beyond speed. A response at the right moment helped a family understand its options and gave them a path forward when waiting until the next business day was not possible.
Better-Qualified Prospects Reach the Owner
Early venue conversations often include many questions. Richelle sees that curiosity as a sign of serious intent: prospects who want the details are often evaluating whether they are ready to buy.
Previously, establishing that confidence required Richelle to invest time and energy before every meeting. Now, serious prospects can get the facts before scheduling a consultation or tour.
Those serious buyers are now getting to get ‘all the facts’ BEFORE booking a call or tour.
That changes the quality of the handoff. Prospects arrive with a clearer sense of what the venue offers and whether they can afford it. The first meeting can begin from a foundation of knowledge and trust instead of starting with basic qualification.
This leads to more qualified leads that are confident they can afford our services before we even meet.
For a team of one, that distinction matters. Richelle can spend personal time with prospects who are further along in their decision rather than using every call to repeat the same preliminary information.
The Results: More Calls, More Tours, and 10 Hours Back Each Week
Since adopting Breezit AI, TRAINE at Seaboard Station reports three measurable changes:
- 2× as many weekly scheduled consultation calls
- 25% more tours
- 10 hours saved per week
The increase in scheduled conversations gives the venue more opportunities to turn qualified interest into booked events. At the same time, those opportunities no longer require Richelle to coordinate every meeting personally.
The increase is great but it is also that, as a team of one, I do not have to set those meetings up myself.
Those 10 reclaimed hours can go toward the work only Richelle can do: serving clients who have already booked, training a new sales manager, and building the business.
The venue has still needed to hire a human sales manager as it grows. Breezit AI has not removed that need. Instead, it has created the breathing room for Richelle to train that person properly while leads continue moving toward calls and tours.
Now I have the ability to train that position properly since I know the AI is keeping the leads moving toward booking a call or tour. This has saved me 10 hours per week!
A More Scalable First Step for Every Lead
For TRAINE at Seaboard Station, Breezit AI now provides consistency at the start of the sales process. Prospective clients can ask questions, receive quick answers, and understand their next step even when the owner is focused on an event, a booked client, or the work of growing the company.
The result is a stronger path from inquiry to conversation: more weekly consultation calls, more tours, better-informed prospects, and less manual coordination.
Turning Breezit off would mean returning that workload to a small team at a time when demand is increasing. Richelle believes the business would struggle to respond at the speed and standard prospective clients now expect.
With Emily handling the initial conversation, TRAINE can serve more inquiries without losing the personal attention that matters later in the client journey.
